Before your organisation can onboard to Dataplace, there are four key actions your organisation needs to take.
Your organisation will need to subscribe to one of the three, Dataplace approved authentication solutions listed below.
Authentication is the process of validating the identity of a user before allowing access to Dataplace. Authentication connects an individual to the organisation they are affiliated with and provides easy, secure access to Dataplace.
Your organisation will need to be enrolled with one of the authentication services below, if you aren't already:
Most Australian Government agencies are already enrolled with VANguard and most universities are already enrolled with the Australian Access Federation's authentication service.
For more information refer to the Authentication services page.
A responsible individual within your organisation will need to be assigned to the role of Organisation administrator.
We would suggest someone in a position of trust, with sufficient data leadership skills and responsibility. Because the Organisation administrator role has broad permissions. It can see all your organisations activities on the platform and assign roles to other users in your organisation such as approving officers.
The people who may be appropriate as an Organisation administrator could be Data stewards, Domain data stewards, Data champions or Chief investigators within your organisation, or someone who works in a central data governance team. You can have one or many Organisation administrators and you can change who performs this role at any time.
When you first sign in to Dataplace you have the option to assign the Organisation administrator role to yourself or nominate someone else from your organisation. If you nominate someone else they will receive an email inviting them to log onto Dataplace and accept the role.
For more information, refer to the Dataplace Roles and Permissions.
Accept or nominate another individual to accept the Dataplace Terms of Use – Organisation.
You will need to determine who within your organisation has the authority to accept the Dataplace, Terms of Use – Organisation (Terms).
When you first sign in to Dataplace you have the option to:
To read the Terms of Use for the organisation, refer to the Terms of Use – Organisation.
To complete your organisation's onboarding, you will need to nominate a group mailbox. A group mailbox is required so your organisation can receive Dataplace data requests and system notifications directed to your organisation for action.
It is a good idea to direct system notifications and data requests to a group email that can be monitored by multiple people. If you do not have a group mailbox, you will need to create one.
When you first sign in you'll be prompted to add a group mailbox, if you need to add it later you can go to Manage organisation.
Please note that your organisation will not receive data requests or system notifications until you provide a group mailbox.
